Perchatka Centr: How We Built a Closed B2B Portal That Turned Paper-Based Orders into a Digital Sales Pipeline

Perchatka Centr is a distributor of personal protective equipment and household goods, working with a network of wholesale clients across Ukraine. Dozens of sales representatives, hundreds of SKUs, daily orders — and all of it used to be processed manually: phone calls, spreadsheets, constant checks of stock levels and prices.

We were given a clear task: to create a closed B2B portal that would replace manual routine with an automated digital process and become a single point of interaction between the company and its clients.

Key Solution: Full Synchronization with the Company’s Accounting System

The core of the portal was a two-way integration with Perchatka Centr’s internal database. We built an exchange system that works automatically and without human involvement:

• Real-time up-to-date data: Products, warehouse stock, images, specifications, and prices are automatically synchronized with the accounting system every hour. The client always sees current information.
• Personalized pricing: Each portal client belongs to a specific price group. The system automatically pulls individual prices, so every client sees their own commercial terms — without unnecessary calls to a manager.
• Instant order transfer: All placed orders are transferred to the accounting system every 10 minutes and automatically converted into invoices. This eliminates manual data entry errors and speeds up processing.

Tools for Wholesale Purchasing, Not Just a Catalog

We understood that a wholesale client works differently from a retail buyer. They do not need beautiful shopping — they need speed, accuracy, and the ability to place large orders quickly.

• Quick ordering by SKU: We implemented a mode where the client enters a product code and quantity, then immediately adds the item to the order.
• Bulk item upload: For large purchases, we provided the option to upload a list of SKUs from an Excel file. The system recognizes the products, checks quantities, and instantly creates the cart.
• Order duplication: For regular clients who repeatedly order the same set of products, we created a feature for duplicating previous orders. One click — and the cart is filled.
• Minimum order amount: The system controls the minimum order threshold, which can be flexibly configured through the admin panel.
• Flexible checkout process: The client can save the order as a draft or immediately sign and submit it for processing, depending on readiness.

Transparent Communication and Control at Every Stage

The portal does not simply accept orders. It provides a full interaction cycle between the client and the company — from product selection to order transfer for processing.

• Messaging system: An integrated communication module with instant two-way synchronization ensures fast feedback between the client and the manager without leaving the portal.
• Order log: The client has access to the complete history of their orders, statuses, and details. This ensures transparency and removes the need for clarification calls.
• Personal account: Each client works in their own secure environment with individual prices, orders, and communication.

We created not just a B2B portal for Perchatka Centr. We developed a closed, secure, and highly efficient platform that became a new standard for working with the client base.
